2. What data we collect
- Contact details: name, business name, job title, phone number, email address and postal address.
- Energy and water account details: supplier names, meter numbers (MPAN, MPRN), usage, contract dates, rates and bills you send us.
- Letter of Authority details: the information on any LOA you sign.
- Communication records: emails, messages, notes of calls and call recordings. We record all phone calls to and from Power Flow.
- Website data: information collected by cookies and similar tools, such as your IP address and pages visited. See section 8.
3. How we use your data
We use your data to:
- respond to your enquiries and give you quotes
- speak to suppliers on your behalf, where you've given us authority
- arrange and manage contracts you agree to
- contact you before your contract renewal
- handle complaints
- record and review phone calls for quality, training and compliance, and to keep an accurate record of what was agreed
- meet our legal and regulatory duties
- improve our website
4. Our lawful bases
We rely on:
- Contract: to provide the service you've asked for.
- Legitimate interests: to run our business, keep records, and contact business customers about renewals and similar services. You can object at any time.
- Legal obligation: where the law requires us to keep or share information.
- Call recordings: we record all calls on the basis of our legitimate interests (quality, training, compliance and keeping accurate records) and, where a call relates to a quote or contract you've asked for, to perform that contract.
- Consent: where we ask for it, for example for certain marketing or cookies. You can withdraw consent at any time.
5. Who we share data with
We share data only where needed, with:
- energy and water suppliers, to get quotes and arrange contracts
- our service providers, who help us run the business: customer records (CRM), email, telephony and call recording, and website hosting
- the Energy Ombudsman, if you take a complaint to them
- regulators, law enforcement or professional advisers, where required
We don't sell your data.
6. International transfers
We store your data in the UK and the European Economic Area (EEA). If a provider ever needs to move data outside these areas, we'll make sure suitable safeguards are in place, as UK data protection law requires.
7. How long we keep data
We keep data only for as long as we need it. As a guide, we keep customer records for 6 years after your last contract ends, and enquiry data for 2 years if you don't become a customer. Call recordings are kept for the same periods as the customer or enquiry record they relate to.
8. Cookies
Our website uses cookies to make it work and to understand how people use it. We use two types of cookie only:
- Essential cookies, which the site needs to work.
- Analytics cookies, which tell us how visitors use the site so we can improve it. We only set these if you accept them.
You can accept or reject analytics cookies using the banner when you first visit, and change your mind at any time through your browser settings.
9. Your rights
You have the right to:
- ask for a copy of your data
- ask us to correct or delete it
- object to or restrict how we use it
- ask us to transfer it
- withdraw consent where we rely on it
